How to keep a sneaker spreadsheet useful after the first 100 links

A spreadsheet workflow for sneaker finds: clean categories, source notes, QC flags, price context and when to remove old links.

A sneaker spreadsheet usually starts clean. Ten links, a few notes, maybe one column for price. Then it grows. New finds get added, old sellers disappear, duplicate models pile up, and the sheet slowly becomes a place where good links go to hide.

Kako Sheetbase works best when the sheet is treated like a living index, not a dumping ground. The goal is to help someone decide what to open, what to compare, and what to ignore.

Use fewer categories, but make them clear

Do not create a new category for every tiny style difference. Most users need broad buckets first: low-top casual, runners, basketball-inspired, sandals, jackets, bags and accessories. Add brand or model notes in another column instead of making the category list impossible to scan.

Add source notes that matter

A good source note is short and useful. Try phrases like clear side photos, good heel shots, needs QC for logo, price looks high, or only one useful image. These notes save time because they explain why the link is still in the sheet.

Avoid vague notes like nice, good, popular or worth it. Those do not help anyone compare.

Mark QC risk before checkout

Every sneaker link should have a quick QC flag. Low risk means simple shape and clear photos. Medium risk means details need checking. High risk means visible logos, tricky panels, uncertain color, weak photos or a seller page that hides important angles.

This does not mean high-risk links are bad. It means they should not be approved without better QC photos.

Keep price in context

Source price alone is not enough. Add a note if the pair is a budget pick, if similar links are cheaper, or if the photo quality justifies paying a little more. A spreadsheet should help users understand the price, not just copy it.

Remove links on purpose

Old links make a sheet feel bigger, but not better. If a product is gone, the photos are broken, the seller page changed, or the link has been replaced by a clearer option, remove it or move it to an archive tab.

A useful spreadsheet is not the one with the most links. It is the one where the next good link is easy to find.
